Departmental processes for endowed professorships and chairs

Endowments housed in the department

  1. Department Chair assembles a list of candidates for the endowed chair or professorship. Candidates are generally identified for an initial appointment or reappointment through self-selection, or nomination by another faculty member.
  2. Department Chair appoints a selection committee (for initial appointments) or a review committee (for reappointments) to evaluate the candidates.
  3. Department Chair, via the Assistant to the Chair, provides the review or selection committee members:
  4. Review or selection committee evaluates the candidates and provides the Department Chair with a report and a letter of recommendation.
  5. Administrator verifies award amounts.
  6. Assistant to the Chair compiles the following materials, depending on the nature of the appointment:

    Initial Appointment

    • Signed cover sheet
    • Committee’s report and letter of recommendation
    • Nominee's CV
    • 1-2 paragraph biography from the nominee
    • Copy of the endowment agreement
    • Appropriate endowment checklist – completed and signed

    Reappointment

    • Signed cover sheet
    • Committee's report and letter of recommendation
    • Nominee's CV
    • 1-2 paragraph biography from the nominee highlighting his/her accomplishments during the prior endowment period
    • Brief document from the nominee laying out how the endowment terms and evaluation criteria were met, including a forward-looking education and research statement
    • Appropriate endowment checklist – completed and signed
  7. Assistant to the Chair emails the original appointment packet as a PDF to the HR Manager in the Dean’s Office.
  8. HR Manager reviews packet and routes to Endowment Review Committee. (Endowment Review Committees meets on average once a quarter)
  9. Endowment Review Committee sends recommendation to Vice Dean.
  10. Vice Dean notifies the HR Manager regarding the recommendation. If the recommendation is to move forward with the approval, the HR Manager drafts the cover memo for the Dean’s signature.
  11. The Dean signs the cover memo.
  12. The HR Manager scans the entire endowment packet with the Dean’s cover memo and sends it back to the ATC for Workday entry.
  13. The ATC updates Workday as noted below and attaches the full packet to “Maintain Worker Docs”:

Endowments housed in the Dean's Office

Department Chair provides a list of names via the Assistant to the Dean:

  • For an initial appointment, the list includes nominees to the Dean's Office selection committee.
  • For a reappointment, the Chair provides a recommendation to the CoE Review Committee, via the Assistant to the Dean.

The Assistant to the Chair provides the Assistant to the Dean with the following:

  • A copy of the candidate’s (or endowment holder’s) CV
  • For a reappointment, a 1- to 2-paragraph biography highlighting accomplishments during the prior endowment period

The Assistant to the Dean, will draft the Dean’s cover memo for the Dean’s signature. The entire packet is mailed to the HR Manager. The HR Manager scans the entire endowment packet with the Dean’s cover memo and sends it back to the ATC for Workday entry. The ATC updates Workday as noted below and attaches the full packet to “Maintain Worker Docs”
